Job Description

Grace is seeking a Maintenance Coordinator for our South Haven Site.  The South Haven Site produces a portfolio of products for the specialty pharmaceutical industries, specifically Active Pharmaceutical Intermediates.  Consisting of a cGMP kilo lab, pilot plant and custom manufacturing at the commercial volumes, the site is fully equipped to develop and manufacture custom drug intermediates and API’s.  South Haven is nestled on the Lake Michigan Coast with beautiful beaches and fun year-round.  This position reports to the Maintenance Supervisor and starts at $20.44 per hour.

The Maintenance Coordinator Maintains Master Control Maintenance and E&I activities; MOC’s for PM’s/Cals, Maintenance method updates, assist with entering and maintaining PO’s in Ariba.Electronically file Maintenance and E&I paperwork in SAP for Work orders, PM’s and Cals.Maintain contractor list in ISN and maintain contractor PM’s in Master Control along with on demand contractor Work order PO’s. Assist Planner/Scheduler with Non routine Maintenance/E&I activities.


The Maintenance Coordinator duties include:

  • Master Control:  Review and sign off completed calibrations also review and sign off completed maintenance PMs. Update Maintenance SOP’s in Master Control.  
  • Create new Maintenance Methods in Master Control and make requested changes to Maintenance Methods and Calibration Methods in Master Control.
  • Schedule PMs and Calibrations for new equipment in Master Control. Submit requests to Master Control Admin for new equipment or equipment changes to be added to the Equipment database.
  • Monthly PM/Cal delinquency update email.  Inform/prod other departments concerning their delinquent or soon to be delinquent PMs (ie. Production/Utilities)  Enter ISN contractor approvals and Ariba and SAP vendor approvals.
  • Enter PO’s in Ariba, tracking PO status and close out PO’s in system.
  • Responsible for work order parts receiving/staging parts for job scheduling, obtain quotes from vendors .PDF maintenance from paper to electronic for torque flange tracking, PM’s, calibrations and work orders in SAP.
  • Write and route MOC’s for Maintenance Supervisor and E&I Supervisor including, 1. Removing equipment, 2. Putting new calibration standards in service, 3. New instrumentation installation, 4. Removing PM/Cals or changing frequency.
  • Create/Modify Functional Locations and Equipment in SAP. Enter Mechanics time into SAP per work orders.
  • Enter contract PM’s into Master Control (Scale PM’s and quality air).
  • Sole source justification for contractor work for preferred contractors.

Education and Skills

High school diploma or general education degree (GED).


  • Good computer functions with Excel, SAP, Master Control and Ariba.
  • Good working knowledge of the plant and or mechanical background.
  • Ability to work in a team environment but also have the initiative to be a self-directed.
  • Great communication skills.
