Job Description

Grace is seeking a Sales Coordinator to join our Polyolefin and Chemical Catalysts Sales team! This role reports to Sales Director, China, located at Shanghai.

This role manages the order process from customer acceptance through invoice processing completion. They work with multiple internal stakeholders in the sales and production process and with external partners including Logistics providers and customers. This role assists licensing business for the deliverables to licensees, and coordinates the business activities (reginal meeting, Unipol workshop, commercial summit, etc.).

This position fosters strong relationships with business segment team members who collaborate and support business plans and provide solutions.

Responsibilities

  • Prepare interco PO for customers’ orders to Global Business Center
  • Handle customers’ inquiries on orders and shipment related matter
  • Prepare Proforma invoices for customers
  • Prepare monthly payment plan and orders shipment report for key China distributors to Finance to get shipment pre-approval in the beginning of each month
  • Process customers’ sample orders and follow-up on delivery schedule
  • Follow up on customers’ payment including orders’ prepayment
  • Arrange rebate and commission accrual and coordinate payment
  • Filing customers complaints on orders related issues in Complaints database
  • Assist on weekly and monthly sales forecasting
  • Assist sales manager to manager customer CDA process.
  • Assist Licensing business to manage the technical documentations (bidding documents, PDP, TA, Training manuals, etc.) preparation, print and shipment.
  • Manage all the Grace samples/return materials/tools export & import, annual DGM test.
  • Coordinate and arrange business activities.

Required Qualifications

  •  Bachelor’s degree and 3+ years relevant experience
  •  Experience using SAP or similar ERP system at an advanced level
  •  Proficient with MS Word, Excel, PowerPoint & Outlook
  •  Fluent in English and Chinese speaking and writing
  •  Excellent communication and interpersonal skills
  •  Be able to work independently and collaboratively as a team member
