Job Description
Grace is seeking an Administrative Assistant to join our Poznan Office team! This role reports to Sr Manager, Customer Service located at Poznan/Poland.
W. R. Grace & Co. – we are global leader in specialty chemicals and materials – and after opening in December 2023 a new 684-square-meter office in Poznań we are looking for and Administrative Assistant to support us Mon-Fri, 6h per day, while working from the office located on Grunwaldzka street.

Responsibilities
- Managing office reception, connecting visitors with the right personnel.
- Handling correspondence and packages, ordering supplies.
- Organizing repairs and maintenance, escorting vendors, managing invoices, filing and organizing documentation, coordinating information flow.
- Organizing meetings, events, and business trips, booking services.
- Monitoring internal databases and company’s portals (OneLan, T1, G Force and others).
- Preparing documents, reports, and presentations, supporting HR and recruitment processes, creating onboarding plans, operating the telephone switchboard.
- Communicating with internal and external departments and providers.
- Looking after EHS tasks.
Required Qualifications
- Having at least secondary education.
- Knowledge of local language is a must. English language – minimum at the level B2.
- Having the ability to use MS Office (MS Excel).
- Accurate, systematic, independent, pro-active, communicative.
- Must be willing to work from office Monday-Friday.
- Ability to follow Company’s safety protocols and policy’s standards.
Preferred Qualifications
- Work experience in a similar position & experience in employees’ recruitment.
- Decision-making, organizational, and analytical skills.
- Second language – will be an additional plus.
