Job Description
Order Management Specialist
The Order Management Specialist manages the order process from customer acceptance through invoice processing completion. They work with multiple internal stakeholders in the sales and production process and with external partners including Logistics providers and customers.
The Order Management Specialist fosters strong relationships with business segment team members who collaborate and support business plans and provide solutions.
The Specialist is on-site in Columbia, MD and reports to the Senior Manager of Order Fulfillment.
Responsibilities
- Serve as customer facing account representative, liaising between customer, commercial team and Grace operations.
- Review customer purchase orders, including pricing, products, Inco term, freight term, payment term and converting them to SAP sales order.
- Collaborate across functions: Sales & Sales Enablement, Manufacturing, Supply Planning, Logistics, Finance and Product Management
- Support resolution on customer issues associated with invoicing, logistics, product quality, and supply timing
- Coordinate and arrange logistics with 4PL providers to meet customer delivery requirements.
- Identify and resolve discrepancies on customer purchase orders related to price, ship-to address, terms based on SAP customer master settings
- Collaborate with freight forwarder(s) to secure bookings which meet customer requirements.
- Generate and approve required export documentation for all shipments.
- Collaborate to resolve logistics issues, such as: container equipment availability, new ocean route/lane requirements, booking changes, documentation errors.
Required Qualifications
- Bachelor’s degree OR 3+ years relevant experience
- Experience using SAP or similar ERP system at an advanced level
Preferred Qualifications
- Experience using organization and attention to detail to manage and prioritize multiple issues simultaneously.
- Experience developing SAP reports and presenting across levels and functions
- Experience collaborating and making critical decisions independently in urgent situations
- Experience learning new systems in a fast paced environment.
