Job Description

Grace is seeking a Domestic Order Management Specialist who will report to our Order Fulfillment Manager located out of our Columbia, MD, headquarters (no remote option). This person will be a solutions provider, who collaborates with multiple parties, including Sales, Logistics, Supply, Sales Ops, Finance and Product Management, to ensure customer requirements are fulfilled. The role is responsible for coordinating activities to fulfill customer PO expectations for the assigned Business Unit. The activities in this role include, but are not limited to, customer communication, reviewing customer purchase orders for accuracy, order processing, adjustments to orders, data integrity, transportation scheduling, returns authorizations, financial transaction processing (invoice, credit & debit) and initial revenue risk assessments.  This position also plays a key role to align Production Planning, Sales Operations, Sales and Operations to ensure appropriate timing of Grace revenue recognition responsibility.


  • Manage sales order from receipt of PO to delivery, including SAP order entry, product availability, logistics arrangements, and final invoicing.
  • Manage order dates in our SAP system to align cross functional teams based on changes to supply, demand or logistics.
  • Accountable for Customer Master Data creation and ongoing data integrity.
  • Compliance with Internal and external Audit, Revenue Controls, Sarbanes Oxley and ISO.
  • Maintain successful customer relationships and expectations, requiring alignment between multiple parties.  
  • Coordinate with Integrated Planning teams and Sales Operations to ensure material availability for customer on time shipments.
  • Collaborate with third party logistics provider to ensure on time shipment and delivery to customer.
  • Investigate and resolve system and data issues such as; SAP SD/OTC processing errors, Material Master Data concerns, customer payment delays (cash forecast) in a timely manner.
  • Perform intercompany purchasing and goods movement from Grace production plants to 3rd party locations, for customer inventory management and sales order requirements.
  • Support Grace’s goals on industry leading KPIs, ISC initiatives, and project roadmaps.
  • Cross-train as a backup for other team members, to ensure customer support continuity.

Required Qualifications

  • Bachelor’s degree preferred in Supply Chain or other relevant Business areas.
  • Minimum 3 years in Order Management, Operations, Logistics, or other customer focused roles.
  • Attention to detail and customer focused.
  • Independent, critical thinker.  Sense of urgency with timely resolution.
  • Excellent organizational skills required to manage and prioritize multiple issues simultaneously.
  • Ability to comprehend critical business information for decision making that aligns with goals.
  • Excellent interpersonal and relationship building.
  • Solid verbal and written communication skills with internal and external contacts.
  • Skilled in use of Microsoft Office applications (Outlook, Excel, PowerPoint, Word).

Preferred Qualifications

  • Knowledge of manufacturing and product delivery processes.
  • Experience with ERP systems (SAP highly preferred)
