Job Description

We are hiring an Administrative Assistant to work at our Process Innovation and Quality (PIQ) facility. This individual would be responsible for performing a wide variety of clerical and administrative functions for the Analytical Services Center (ASC) and Process Innovation Center (PIC) that includes operations and logistics support for the overall PIQ facility. Duties include the following:

  • Process SAP/SAP Ariba purchase requisitions, SAP/SAP Ariba goods receipts, and other purchases for labs, pilot plant operations, capital projects, and building/office supplies.
  • Prepare, record, verify, analyze and report accounts payable/receivable transactions.
  • Manage ISO timelines, maintain ISO records, and manage lab notebooks.
  • Assist with the creation of training events and the distribution of training materials.
  • Assist with set up of Aspire training modules and manage training records.
  • Support Enablon MOC implementation.
  • Provide administrative support for calendars, meetings, catering, and travel arrangements.
  • Prepare data/presentation reports using Microsoft PowerPoint, Word and Excel.
  • Set up mailing lists and assist with building communications.
  • Assist with management of SharePoint sites.
  • Organize document printing services.
  • Secure onboarding items for employees.
  • Organize shipments.
  • Carry out special projects and assignments, as requested.
  • Comply with all environmental, health, safety, and process safety standards and procedures.  Report hazards, deviations, and injuries in a timely manner.


Required Skills

  • Must be able to perform each essential duty satisfactorily.
  • Requires the ability to read, analyze, and interpret general business matters.
  • Must have effective written and oral communication skills.
  • Strong organizational skills are necessary.
  • Advanced Microsoft Word, PowerPoint, and Excel hands-on knowledge.
  • Ability to multi-task and prioritize according to timelines and dynamic business needs.
  • Detail-oriented and able to perform in a fast-paced and high-demand environment.
  • Must be able to wear PPE and go into the lab or pilot plant settings, as needed.
  • Must be trustworthy and able to maintain a high level of confidentiality.
  • Self-starter, able to work in a highly visible position under limited direct supervision.
  • Must be flexible and able to effectively work across all levels of the organization to meet objectives in a timely manner.

Required Experience

  • High School diploma
  • At least 2 years of administrative experience

Preferred Qualifications

  • Associate Degree preferred
  • SAP or other ERP functions
  • Experience working in an R&D or manufacturing environment
