Job Description

  • Coordinate delivery schedules with refinery, logistics team in Worms, Germany and local forwarding partner.
  • Coordinate intercompany purchase orders with logistics team in Worms, Germany.
  • Collect and review shipping documents from Grace Germany.
  • Prepare documents for customs clearance and manage customs clearance process together with broker in KZ.
  • Obtain import declaration from KZ customs.
  • Coordinate acceptance of goods in SAP with logistics in Worms and coordinate with locally appointed agency acceptance of the goods for accounting purposes.
  • Prepare required shipping/sales documents for delivery to refinery (waybill, etc.).
  • Coordinate accounting documents for sales transaction with Locally appointed agency.
  • Coordinate Goods Issue and "simulate" Customer invoice in SAP with logistics team in Worms, Germany.
  • Manage local forwarder and coordinate delivery of the goods including documents to refinery and collecting acceptance protocol.
  • Ensure timely cash collection together with Cash Applications team in Manila, follow up with refinery.
  • Calculation and review of broker fees and other Employer operating expenses/invoices.
  • Collection and coordination of accounting documents with Locally appointed agency.
  • Archiving of accounting and sales documents
  • Manage day to day activities of the Employer office.
  • Sales forecast for KZ refineries.
  • Work collaboratively with colleagues across the organization to ensure business success of the Employer.
  • Maintain the Employer's documentation and necessary files in order.
  • Performs other job duties as assigned by the Employer or higher ranking employees of the Employer.


Required Skills

  • Problem solving and willingness to look for efficiencies to improve customer experience
  • Proficiency with MS office, especially MS Excel, MS Word and MS Outlook
  • Knowledge of Share point an added advantage
  • Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision
  • Ability to work independently, take initiative and demonstrate accountability
  • Ability to quickly learn and adopt new technologies and processes
  • Strong written and oral communication skills
  • Ability to pay attention to detail and possess good organizational skills

  • Proficiency both in English, Russian and in local language, oral and written.

Required Experience

  • Min. 5 years of related experience

Preferred Qualifications

  • Commercial education in business field preferred or equivalent work experience
