Job Description

Major Responsibilities 

 

  • Facilities Management
    • Provide quality, effective and efficient facilities management services;
    • Achieve effective and efficient utilization of resources;
    • Provide a clean, well maintained and appealing workplace;
    • Provide a healthy and safe environment;
    • Provide an environmentally friendly workplace;
    • Plan Alteration & Addition (A&A) works to existing premises in a more flexible approach
    • Develop dynamic space planning

 

  • Administration
    • Provide general administrative support to the Site,
    • Assist in conceptualizing and executing relevant site engagement activities
    • Prepare, proof and edit documents, correspondence, spreadsheets and reports as directed ensuring accuracy and meeting all established deadlines.
    • Responsible for the procurement of office supplies, secure maintenance of office equipment, establish and maintain filing system, sort and direct mail, and maintain an accurate calendar.
    • Providing high quality customer service using professionalism, confidentiality, and good judgment is required.
    • Prepare, coordinate and organize meetings as required to include room reservations, notification to members, and distribution of meeting materials and minutes.
    • Prepare required reports and documents in compliance with the regulatory requirements under PEZA, DOLE – BWC, and any other local government institutions.
    • Prepare travel arrangements as required
    • Prepare and process monthly expense reports
    • Monitor purchase agreements, contracts, multiple accounts, and perform other basic accounting tasks ensuring accuracy and meeting all established deadlines

Required Experience

  • Good attention to detail, strong organizational skills and the ability to maintain confidentiality
  • Familiarity with office management procedures and basic accounting principles
  • Strong interpersonal skills with an ability to maintain a high level of customer service.
  • Be able to work creatively, independently and collaboratively as a team member and be able to multi-task and prioritize projects.
  • Excellent Oral and written communication skills
  • Ability to communicate with different levels of positions in the organization

Preferred Competencies

  • Candidate must possess at least a Bachelor's/College Degree, Human Resource Management or equivalent.
  • At least 2 year(s) of working experience in the related field is required for this position.
  • Must be proficient in MS Word, Excel, PowerPoint and Adobe
  • Demonstrated proficiency in business writing and oral communication using correct grammar
  • Excellent interpersonal, communication, presentation and people management skills
  • Creative and innovative
